Race Cancellations Policy

Up through 2008, Time Out! Productions offered the most generous inclement weather-related cancellation policy in the sport…that being the issuance to all athletes enrolled in a cancelled event a FREE RACE certificate for a declared make-up race conducted the following year. Unfortunately, the ‘unlikely’ chance of cancellation became ‘reality’ twice for us…at the 2004 Massachusetts Triathlon and the 2008 Hyannis Sprint 2 Triathlon. Recently we asked USA Triathlon what most Race Directors declared for cancellation policies and learned that our FREE RACE policy was most unusual for the sport. Many Directors offer no refunds or credits towards other events…and the credit value for those who do extend a credit normally does not exceed 25% of a cancelled race’s entry fee.

Whereas our FREE RACE policy has protected our athletes as a result of these two cancelled races, we remained responsible for several expenses leading up to the cancellations. Starting with the 2009 racing season, our revised cancellation policy is as follows:

Policy #1: should a 2010 triathlon race be cancelled for any reason 14 days or less from the race date, we will extend an entry fee credit certificate to athletes enrolled in the cancelled race to be used against the entry fee for any single New England Triathlon Tour race of choice conducted in 2011. A $25 certificate if the cancelled race is one of the three Cape Cod Sprint triathlons. This certificate must be included with the completed 2011 Tour entry form and received by Time Out! Productions postmarked by April 1, 2011. The certificate will be null and void after April 1, 2011 without exception.

Policy #2: should a 2010 triathlon race be cancelled for any reason 15 days or more from the race date, we will extend a 100% refund to athletes enrolled in the cancelled race.
